Major Hatch AI Update! ServiceTitan Calendar Booking

We're excited to announce that Hatch AI bots can now book appointments on ServiceTitan calendars! This hands-free booking experience is huge.

In the old days, the Hatch flow was automating your outreach, then jumping in and engaging once the contact responded. Now, it’s automating your outreach and letting a Hatch AI bot jump in and handle the conversation.

Hatch AI bots handled 11,000 conversations last month alone, saving teams hours they would have otherwise spent qualifying leads, gathering information, and following up on stalled conversations.

But the one thing Hatch AI bots haven’t been able to do is book appointments on the calendar.

Until now, that is.

With this newest update to the Hatch AI + ServiceTitan integration, your bot can now provide customers with available time slots on your calendar, and once the customer picks the best one for them, actually book it.

This calendar sync is one of many key features of the ServiceTitan + Hatch integration, which as of recently now also includes Recurring Services. Here is what it entails:

  • Arrival windows: This integration supports arrival windows (between 11 and 1, for example), which are common for service businesses.
  • Multiple options: Your bot will pull 5 availability slots for the customer to choose from.
  • Customization: With the Train Your Bot feature, you can train your bot to fetch CRM data on your contact so they don’t have to repeat information.

All of this is in addition to the standard Hatch AI features, which include being able to give your bot a personality, custom instructions on what information to collect and how to handle responses, and a business profile for them to be able to answer customer questions. How it works

Here's a quick run-through of how to use Hatch AI with ServiceTitan for a hands-free booking experience.

  1. Integrate Hatch with ServiceTitan
    For Hatch users, you can view the ServiceTitan Integration page in our Knowledge Base for help. For ServiceTitan users who aren’t Hatch customers, you can find Hatch in the ServiceTitan Marketplace.


  2. Create your audience
    Since Hatch integrates with your CRM and lead sources, you can target any criteria in your database. As a ServiceTitan user, examples of audiences you might create include:
    • Leads from a particular source (your website, Angi, etc.)
    • Prospects quoted X days ago
    • Customers with an upcoming or past-due recurring service
    • Customers with an upcoming or past-due membership renewal

  3. Create your outreach campaign
    Customize our pre-built templates, which will send personalized messages out over text, email, or voicemail drop, and keep reaching out over a set number of days, until the contact responds.

  4. Create your bot
    You can create a bot from scratch or from a template. There, you will see calendar configuration settings where you can choose Business Unit, Campaign, and Job Types, as well as whether you want to use arrival windows. Then, go through all of the bot configuration steps (Persona, Interactions, Rules, etc.).


Once you configure your bot, it will ask the questions you instruct it to ask, to qualify the lead and/or confirm the information needed to book the appointment.


The bot will then give the contact four appointment time slots to choose from.

Once the contact picks a time, the bot will confirm that time with the customer:

The bot will then move the Hatch contact card to the “Appointment Scheduled” column:

And finally, the bot will create the event on your ServiceTitan calendar:

 

    1. Monitor and track
      Use your Hatch workspace to monitor conversations, which allow you to refine your bot further as well as to jump in and take over if ever needed. Then, refer to Hatch’s in-app reporting to track your bot’s performance and your ROI.

More integrations to come

We have plans to expand Hatch AI calendar integration to several more calendars, including Outlook, Google/Gmail Calendar, and more.

In the meantime, however, we have several customers saving time and money with Hatch bots even without calendar integration. The bots collect all of the necessary information, weed out unqualified leads, and then pass off the qualified leads to a human rep, who now only has to book the appointment.
